Organize and Manage Events

Use Events to find and manage your calendar events and RSVP registrations. Switch between the event overview and Groups to work with individual events or their containers.

Open Events in the app

Find an event

Use Search Events, Filter by Group, and the date filters to narrow the overview. If an older event is missing, check Hide past events and clear filters before searching again.

Table View shows events as rows. Calendar View lets you browse by day, week, or month. Events without a fixed date, including date-free forms and dynamic dates such as “today”, appear only in the table.

For recurring or multi-date events, date filtering uses the earliest start and latest end across their dates. Open an event to inspect its individual dates.

Organize events into groups

Choose a useful group name, such as “Customer training”, and use Internal note to explain its purpose to colleagues. That note is for your team, not your audience.

Choose Calendar Subscription → No for a normal organizational group. For an ongoing calendar, follow Calendar subscriptions. A public event list is a separate way to display a group's events on your website.

To move an event, open it and choose Change Group from its additional actions. The event, current group, and destination must be published. External-calendar groups cannot receive events; groups using their own events as a subscription have additional compatibility rules.

Edit and publish changes

  1. Open the event and update the relevant fields.
  2. Check the preview, including dates and connected templates.
  3. Choose Save as draft to save your edits.
  4. Choose Publish when the saved changes are ready for your audience.

Saving a draft is not the same as publishing. Do not use draft status to withdraw information that was already distributed. Published changes may take 3–10 minutes to appear across delivery systems.

For an RSVP event with responses and event distribution enabled, publishing offers Publish or Publish + inform. The second option also emails participants about the update. It is not a guarantee that an event already imported into someone's calendar will update automatically.

Duplicate or withdraw an event

Use Use copy for new event to start a separate event with existing settings. Check the new dates, connected templates, and sharing links before publishing it.

Public and private

The additional-actions menu offers Set private. This stops public delivery of the event information and pre-built calendar file; connected buttons and RSVP forms stop working too. It does not recall files people already downloaded. Use Set public to make the event available again.

Delete only when you mean to remove it

Deleting an event cannot be undone. Deleting a group also deletes its included events, and their integrations stop working. In Calendar View, deleting one displayed date of a multi-date event deletes the whole event, not just that date.
